Information provided to MRM
Enquiry and booking forms collect your name, email address, any telephone number you provide, property interests, messages and answers to the fit-check questions. Optional marketing choices are recorded separately.
For invited clients, the portal holds account and project details, correspondence, task progress, uploaded documents, agreement records and payment history. Identity, proof-of-funds and source-of-funds documents may be requested for an applicable transaction. Only upload documents requested for your project and avoid including unrelated information about other people.
Information may also come from authorised joint investors, advisers, property professionals and records relating to your project. Where meeting tools are used, meeting notes or transcripts can become part of the client record. Ask the organiser about recording before a meeting begins.
Why information is used
We use enquiry and project information to respond to requests, assess the services you are seeking, arrange calls and carry out the steps you ask us to take before or during a contract. Contract-related processing relies on taking requested steps before a contract or performing that contract, where applicable.
We also use information to administer and protect the service, detect misuse, maintain an accurate record and respond to complaints. The relevant legitimate interests are operating a reliable service, protecting accounts and resolving issues. Where a legal obligation applies to a transaction or record, information may be processed to meet that obligation.
Optional email marketing and optional analytics rely on your consent. You can decline them and still make an enquiry. Withdrawing consent does not undo lawful processing that took place before withdrawal.
Technical information and cookies
The service processes technical information such as request details, network addresses, browser information, authentication activity and security logs. Essential cookies and local storage support sign-in, account security, saved form progress and your privacy choices.
Optional analytics and marketing tracking depend on your choices in Cookie preferences. Use that control to review or withdraw permission. External video and calendar services may process technical information when you open or load their content under their own privacy notices.
Service providers and recipients
Access is limited to authorised MRM staff and people involved in providing the relevant service. Information may be shared with authorised joint investors and the solicitors, surveyors, contractors, property managers or other advisers needed for a project, and with authorities where legally required.
The website uses hosting, database, account-access, file-storage, email, CRM, scheduling and payment providers. Its integrations include Vercel, Supabase, Resend, GoHighLevel and Stripe. Where used, Fathom processes meeting material and Anthropic supports staff tools for extracting information or preparing drafts. Staff should review generated output before relying on it.
Providers can operate in countries outside the UK. A restricted international transfer requires a valid transfer mechanism, such as applicable adequacy arrangements or contractual safeguards. Contact MRM for the provider and transfer arrangements relevant to your information or to request details of the safeguards.
How long information is kept
Retention depends on the purpose of the record. Enquiry information is needed while responding and following up; project and transaction records may need to remain available for the relationship, accounting, applicable legal duties and the handling of claims. Security logs are needed to investigate and prevent misuse. A request to stop marketing may require retaining a minimal suppression record so the request remains effective.
The period for a particular record is determined by those needs, applicable obligations and any active dispute. Contact MRM to ask for the retention period applying to your information or request deletion. Deletion may be limited where records still need to be retained lawfully; backup copies may remain until the relevant backup is replaced.
Your choices and rights
Depending on the circumstances, you can request access to your personal information, correction, deletion, restricted processing or a portable copy, and object to processing based on legitimate interests. You can object to direct marketing and withdraw consent at any time.
Contact info@mrmgroup.co.uk or submit a personal-data request through the portal. MRM may need information to confirm your identity before releasing records. We will explain if a request cannot be met in full or if additional time is needed.
You can also raise a concern with the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113. Contacting MRM first gives us the opportunity to address your concern, but does not remove your right to complain to the ICO.
Fit checks and required information
The booking form uses your answers to route you to the next step. If an outcome seems incorrect or you want a person to review it, contact MRM. Staff tools may assist with summaries and drafts; these are not personal financial advice.
You do not have to provide optional information. Without the contact or project information needed to handle a request, MRM may be unable to respond, provide access or progress the relevant transaction. Any transaction-specific identity checks and contractual requirements should be explained when the information is requested.
